Absolute Polo
Terms & Conditions
By booking with Absolute Polo, clients agree to the following terms and conditions. These terms are in place to ensure smooth operations, maintain fairness, and protect the interests of both clients and Absolute Polo.
1. Booking Confirmation & Payment Terms

Bookings are confirmed upon receipt of a 60% deposit, as stated in the quotation.

The deposit is required to secure the booking and ensure availability.

The remaining 40% of the total amount will be calculated and settled at the conclusion of the itinerary, taking into account any changes due to weather or mutually agreed adjustments.

If the deposit has not been paid prior to arrival, this does not exempt clients from these terms. Upon arrival, clients are fully bound by these terms and conditions, regardless of whether the liability waiver has been signed.
2. Cancellation Policy

Once an itinerary is accepted and agreed upon, any cancellations or changes initiated by the client must be communicated with at least 2 weeks’ notice.

Cancellations or changes made with less than 2 weeks’ notice will result in the client being responsible for 100% of the costs of the cancelled items or sessions. This policy is in place due to the resources required to prepare horses, staff, and facilities, and the loss of potential bookings during the reserved time.

In the event that Absolute Polo fails to provide the service as agreed, or if weather conditions prevent the completion of the itinerary, clients will not be held responsible for the associated costs. In such cases, any necessary adjustments will be made to the final amount upon departure.
3. Amendments to Itinerary

If clients wish to make adjustments to the itinerary after it has been confirmed, Absolute Polo will attempt to accommodate these changes. However, any amendments must be agreed upon by both parties and may affect the final pricing.

Weather-related changes will be assessed on a case-by-case basis, and any services unable to be provided due to weather will not incur additional costs.
4. Client Responsibilities

Clients agree to arrive on time for all scheduled activities and sessions. Delays caused by the client may not result in a refund or rescheduling of the missed time.

Clients are responsible for their own personal gear and equipment. Any special requests regarding the itinerary or services should be made in advance and are subject to availability.
5. Liability & Risk

Absolute Polo takes every precaution to ensure the safety of its clients and horses. However, clients acknowledge that polo is a dangerous sport, and all participants engage at their own risk.

By confirming the booking, clients agree to the terms outlined in the Absolute Polo Liability Waiver, which must be signed prior to engaging in any activities. The waiver also becomes effective upon the client’s arrival, regardless of whether it has been physically signed.
6. No Shows or Late Arrivals

If a client fails to attend a booked session or arrives late, no refund or adjustment will be made for the time lost, and full payment for the scheduled service will still be required.
By booking with Absolute Polo, clients acknowledge that they have read and understood these Terms & Conditions and agree to adhere to them. Any disputes will be handled in accordance with South African law.
